The Apps We Use

I’ve always found it fascinating to go behind the curtain of how people live and work. What systems do they use to stay on top of things? How do they balance work, life, family, creativity and maybe even carve out space for rest? You can tell a lot about someone by what’s in their fridge and what apps they use.

These days, our lives are often run by the apps on our devices. From workflow and communication to creativity and mindfulness, the right tools can genuinely make life feel simpler and more seamless.

So in the spirit of sharing (and learning from each other), here’s a current list of the apps I use regularly - personally and professionally to stay organised, creative, and in flow.

Everyday Essentials

  • Mail (Apple Mail) / Outlook
    For managing both work and personal emails.

  • OneDrive
    For storing, syncing, and sharing files easily from anywhere.

  • SignNow
    A simple way to sign and send documents digitally.

  • Asana
    Project management made visual and easy it’s great for our team and planning as well as sometimes working collaboratively with speciality subcontractors or clients.

  • Evernote
    For note-taking, brain dumping, and syncing ideas across devices.

  • Tiny Scanner
    Turns your phone into a portable document scanner (and makes it look pro!).

  • Spotify
    Music is always on in the background, helping with energy or calm depending on the moment. Sometimes i’ll listen to the odd podcast on here too.

Communication + Content

  • Microsoft Teams
    For client meetings, team chats, and staying connected.

  • Notes App (Apple)
    My go-to for social content drafts, quick ideas, or lists.

  • Instagram
    A favourite for storytelling and visual inspiration. Find us at @goto.studio

  • Audio Recorder (Apple Voice Memos)
    Great for interviews or capturing thoughts on the go.

  • Later
    For planning and scheduling content across social media platforms.

  • ManyChat

    A fun innovative tool for automate messaging and lead nurturing across social channels.

  • Lightroom
    Used for editing and polishing images before they go live.

Mind + Wellbeing

Design + Inspiration

  • Unsplash
    Beautiful, high-res imagery that’s free to use. Great for mood boards and mockups.

  • Pexels
    Another fantastic source for royalty-free images and video.

A Note on Notifications

One of the best things I’ve done: turn off (almost) all notifications.
The only ones left on are reminders from Oak. Everything else? Silent.

I try to park my phone by 8pm and not pick it up again until 8am. Try it, it’s genuinely life changing.

Final Thoughts

There are so many tools out there but I truly believe in the power of less is more. I’d rather use a handful of well chosen apps that genuinely support my day-to-day than fill my devices (and my mind) with digital clutter.

Each of these apps helps simplify things whether it’s staying in flow with client work, creating content, or just finding a few moments of calm in a busy day. I’ve curated this list over time and it works for me, but I’m always open to new discoveries.
